Time and Leave Administration Technician

The VCCS Shared Services Center is an innovation strategy to advance the priority of student success, reduce the administrative burden on individual colleges, consolidate transaction-based functions, create economies of scale and improve backroom process efficiency. This work allows the VCCS to better focus resources on the students – helping them start their educational journeys, persist, and succeed.

Reporting to the HR Operations Line Manager, this position provides entry-level technical, consultative services in one or more functional areas of human resource management. This position will work with Time and Leave functions, including trouble-shooting system errors, processing leave, and holiday calendars, and assisting with time administration processing and testing. Other duties as assigned.

 

Knowledge of:

  • Basic math, telephone procedures, and standard business communications
  • Computer systems and Microsoft Office programs, with extensive experience in Excel and Word
  • Knowledge of process improvement techniques

 

Skills:

  • Computer expertise with knowledge of Microsoft Office applications, mainly Excel and Word
  • Strong verbal communication and writing
  • Attention to detail
  • Organizational and follow up skills to ensure functions are completed promptly
  • Strong customer service
  • Critical and analytical thinking

 

Ability to:

  • Provide exceptional customer service
  • Ability to work effectively with a wide range of constituencies in a diverse community
  • Takes ownership to resolve customer dissatisfaction issues with a sense of urgency
  • Treats team members as internal customers and enable them to succeed
  • Manage several tasks simultaneously and meet deadlines• Apply knowledge of human resource principles and practices, including federal and state laws and regulations applicable to work
  • Accurate and timely analysis of a variety of data
  • Work flexible hours as needed
  • Travel to System Office or other colleges for training and meetings
  • Produce documents and reports as needed
  • Organize and document recruitment activities and employment files
  • Maintain confidentiality
  • Display a high level of integrity/ethics
  • Use time effectively to complete tasks and responsibilities
  • Analyze issues and recommend actions
  • Work independently, as well as a team member
  • Manipulate data in Excel Spreadsheets by using formulas and filters

 

Required qualifications:

  • High School Diploma, or equivalent education and work experience
  • Previous experience working administrative tasks handling several assignments at one time
  • Working experience in an everchanging, evolving environment
  • Customer service experience
  • Work experience utilizing computer systems
  • Experience with MS Office

 

Preferred qualifications:

  • Associates degree in Business or related field, or equivalent education and work experience
  • Experience with DHRM policies
  • Experience with SharePoint
  • Working experience using enterprise HRIS systems
  • Shared services or call center experience
  • Process improvement experience
  • Experience in higher education and/or state government
