POSITION DESCRIPTION

The Herbert Wertheim College of Medicine is currently seeking a Program Assistant to join our team of professionals.

Duties Include:

  • Responsible for all aspects of Household Visit scheduling within the NHELP program for all learners to include populating available household (HH) visit appointment slots within the Portal Online Scheduling (POS) system, review of POS and scheduling and updating household visits within NHELP portal, arranging faculty and/or resident coverage of household visits by utilizing appropriate schedules, and confirms and reminds supervising faculty, residents, and officers of upcoming visits.
  • Registers household members in the Electronic Medical Record (EMR), schedules mobile health center appointments received via phone and appointment ticklers within the EMR, Responds and routes patient inquiries to the appropriate physician. Reviews and manages assigned task categories within Athena, including no-show patients, rescheduling, scheduling, labs, and authorizations. These action items may be system-generated or initiated by providers.
  • Coordinates Uber Health Transportation for NHELP household members. Tracks rides on the dashboard and assists in communicating with drivers.
  • Handles medical records correspondence as needed, ensuring a signed authorization prior to releasing or requesting records.
  • Assists with coordination of specialty referrals including mammography service referrals.
  • Responds to and closes the loop on telephonic and electronic communications from learners, faculty, and other NHELP staff.
  • Interacts with non-English Household members in Spanish to schedule appointments and resolve any inquiries they may have. Uses interpretation services to communicate with Household members as needed.
  • Prepares resource folders for medical students who take them along for their in-person household visits, which include essential forms such as Consent to Treatment, Telehealth Consent, and Medical Release of Information.
  • Performs essential duties in any emergencies such as hurricanes, public health emergencies, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
  • Performs other related duties are required or as directed. The omission of specific duties do not preclude the supervisor from assigning duties that are logically related to the position.

MINIMUM QUALIFICATIONS

  • High school diploma or GED and five (5) years of office or related experience providing administrative support or coordinating functions of an office or department.
