POSITION DESCRIPTION

The Herbert Wertheim College of Medicine is currently seeking an Assistant Director of Human Resources to join our team of professionals.

Duties Include:

  • Manages the daily operations of the recruitment, hiring and onboarding of administrative, staff and temporary positions. Ensures efficient and customer service-oriented support across all departments.
  • Supervises the assignments, schedules, and professional development of assigned staff.
  • Ensures compliance with recruitment and pre-employment requirements. Oversees team compliance with recruitment guidelines, procedures, and university policies to ensure consistency across the unit. Stays up to date with policy and guideline changes across the university and updates internal procedures accordingly.
  • Collaborates with senior management to assess staffing needs. Develops cost-effective recruitment plans that attract top talent and support the goals and operations of the departments. Works closely with hiring managers in the identification of appropriate candidates, including relaying feedback between parties and salary negotiations.
  • Builds pipelines of candidates through the establishment and utilization of relationships with community groups, and other candidate sources as needed: seeks out and recommends sources of candidates. Plans annual careers fairs and recruitment plan.
  • Manages the compensation analysis for administrative, staff and temporary positions in collaboration with the HR leadership team.
  • Develops and maintains reports on recruitment activities and monitors recruitment progress and metrics. Provides recommendations on process improvements where needed and assists in the implementation. Maintains recruitment metrics to monitor and ensure an efficient recruitment workflow.
  • Ensures Person of Interest (POI) appointments are reviewed and processed by internal staff in accordance with university policies and procedures. Oversees annual POI Medical Resident process to ensure timely completion of medical resident appointments.
  • Manages the Performance Excellence Process (Annual Employee Evaluation Process) for HWCOM Administrative and Staff employees. Develops and analyzes periodic reports and addresses performance concerns with the HWCOM HR leadership team as needed. Provides support to all supervisors with any questions they may have.
  • Oversees the Time & Labor process for HWCOM employees. Provides guidance to unit managers and employees regarding Time & Labor in accordance with wage and hour employment laws. Independently resolves time reporting issues and/or discrepancies.
  • Manages internal procedures related to separations, leave of absences, flexible work schedule requests and worker's compensation requests to ensure they are being tracked and completed in a timely and accurate manner according to university policies and procedures. Liaises with the Division of Human Resources to ensure the actions are being processed.
  • Oversees new hire mandatory training requirements are being met in compliance with Health Insurance Portability and Accountability Act (HIPAA), Family Educational Rights and Privacy Act (FERPA) and university guidelines. Handles escalated compliance issues to ensure all employees complete required trainings.
  • Manages the Administrative and Staff Assembly, including but not limited to managing meetings with committee members; liaising with HWCOM Information Technology regarding presentation design and development of videos; technological support; and event logistics.
  • Manages the recognition program for administrative and staff employees. Responsible for management, development, implementation, and ongoing assessment of employee recognition programs. Ensures annual recognition event planning and logistics are in place.
  • Leads the planning and coordination for annual employee engagement events. Provides analysis and recommendations for ongoing event program development.
  • Assists with the annual budget process and special projects as needed.
  • Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

MINIMUM QUALIFICATIONS

Bachelor's degree in a related discipline and six (6) years of professional human resources experience.

DESIRED QUALIFICATIONS

  • Experience in managing the full cycle recruitment process.
  • Experience in managing effective teams and employee development.
  • Experience in managing HR related projects and functions.

ADVERTISED SALARY
$75,000-$80,000
